I'm looking into putting on an event later on this spring at a local fairground and I'm wondering if anybody who has experience with this type of thing knows of a good insurance company that can provide it for races.
The County requires $3 million general aggregate, so if anybody can give me some leads to investigate, I can get the ball rolling on other stuff, security, alcohol permit, EMT's, staff, sponsors ect ect.
I've been to one-off arenacross races and even with a bonehead promoter they pull in good amount of racers and crowd. It will be my first time but I think I if I can get my ducks in a row it should go alright. Any other info you guys might be able to give me a heads up on would be appreciated as well.

If you can talk the local strip club owner into loaning you a few girls to hold the 30 sec. board you will make millions.

I'm for sure going to spice it up with some skanks, I moto with a guy whos wife is choreographer (sp) for a local arena fooseball team. get them all out there wearin moto paraphenilia Bercy style.

I'm not looking to make a living out of it, just something to do I guess.
we have a pretty good rockstar presence around here, so it would probably be pretty easy to ge them on board. They have a stable of some chicks, but they usually go to the bars and are a leetl on the trasshy side, no so much on the hot trashy side either.
We can pay from $700 to $1400 for a local race here in So Calif, with the tracks carrier.
Now we are in California and you can sue for anything here, so it could be more here. Depending on what level of coverage you would need, $1500 to $2000 would be the norm I would think. But I'm just guessing.

A lot of red tape with them so get started well in advance. Big fence setbacks etc are required.
If there is any AMA racing in your area you might want to go with them.
No track requirements and more protection because of the memberships.
You may get quotes from other companies but you need to be sure that they are including "participant liability".
A $3 mil policy is going to be a pretty good hit.
one day $1 mil policies are over a thousand dollars.
the only time I have had to purchase more than a mil was at a fair race that I did back in 1998. I am thinking each aditional mil was about 35% more so I would guess you are looking at around $1600-$2000.
I have run over 20 races as part of a fair and around 400 races and might be able to help you with other stuff.

Last year I was paying between 1,500 and 2 grand per event.
I've been told a better price can be had if you run a series,
like 3 in a row.
Being your first one doesn't make it better.
They look at you like a kid getting his first drivers license.
Good luck, just don't rely on the gate to pay the bills.

I think we had $1mm insurance and I believe it was around $1,000
Our Ambulance crew donated their time - but we gave them some money
We had to have at least 2 uniformed police men - $40.00 per hour each (5 hours each)
Alcohol...NO WAY IN HELL would I recommend that!!! One beer gets sold to somebody under 21 and you're screwed.
You can check with a temp service for workers. I'd get somebody I trust to do the gates. You'll need at least 3 scores as well. A main flagger that knows his shit, a starter that knows his shit and at least 3 or 4 other flaggers.
I'd look into renting headsets so they can all stay in touch.
Dirt - We used what was in the arena and used round bales of hay. We placed the hay where the jumps go and then covered them with the dirt. Once the dirt is there, nobody knows the difference.
Equipment - Luckily we had our own tractor, dozer, skid steer, and hay. Otherwise with a crowd of 2,500 and 150 racers, we'd have lost money.
I'd try and get a "freestyle" guy there for a half time show. Even if he comes out and does a couple heel clickers, the crowd will love it.
You better go in with the idea of "just having a good time". Don't make the mistake of thinking you will make a lot of money.

Advertising - Is expensive. Luckily for us again, I own a printing company. We didn't have to pay for all the flyers or posters. Radio...I think we spend almost $1,600. It's HIGH!
The take off of the catapult was 7-8 feet tall and it used 6 and the landing was a rounded off table top and it used 6. The others were used in a jump on, jump off table top section.
I think to line the whole track, I brought around 200 square bales as well.
Like I said, I already had all this stuff. Around here, square bales are going for $4.00 a bale and the rounds at $35.00.
we have done a "fairgrounds" facility race for 17 years. pay real close attention to the costs and you won't get rich but you can make a couple bucks. make the track so it is fun for everyone, that should keep the ambulance parked, and stay on schedule. If you want to make money get a real job. If you are doing if for the glory well good luck.
and when the riders do stupid chit, dont' yell at them, they won't come back.
don't expect alot until you have done this for like 5 years, AMA has 4-5 different insurance companies. 3 mil is over kill. best way to get sued is to have a pot of gold. but if they require it thats nuts....
I'm not looking to get rich quick or make this a career, people have always been complaining that with all the riders in our region we dont have a big race like this so I'm going to try and step up and do it. If it goes smooth, and I don't lose money I'll be a happy camper.
Getting sponsors around town shouldn't be affected by the economy, there is the highly contaminated Hanford nuclear site near by that the govt. spents billions a year trying to clean up. This employs just about everybody and it makes for a pretty stable economy.
The insurance will be a toughy I know but I'm just trying to round up some numbers to see what I need to come up with up front. The arena rental is a lot cheaper than I expected so that is kind of motivating, and will allow more budget for Insurance.
